Computer Use Policy

Policy Scope:
These policies cover assigned devices, privileged file data, and internet connections within Calvary Chapel of Costa Mesa (CCCM), its staff/volunteers, and its facilities. Use of the CCCM equipment/data/Internet is restricted to activities that legitimately further the operations and programs of CCCM and its individual departments.

Computer Device Provisioning Statement:
All computer devices distributed by CCCM and its Calvary Technical Services (CTS) department are the property of CCCM and must be returned to CCCM/CTS upon employee/volunteer termination, and that handled via the Human Resources (HR) department within CCCM.

Computer Device Security and Threat Protection:
All devices distributed by CCCM are pre-equipped with anti-malware and/or anti-virus software in order to prevent contraction and spread of threats to the local area network (LAN), the Internet, and CCCM owned facilities. Users should contact CTS if virus protection is not installed on a device, or if suspected virus/malware/threat is discovered.

Supervision of Computer Users:
Department managerial accountability for the privileged access and the actions of subordinates applies equally to computer access, network file access, Internet use, and to any other technology-related access.

Computer, email and internet usage:
  • CCCM employees are expected to use the Internet responsibly and productively. Internet access is limited to job-related activities only and personal use is not permitted unless granted by direct management.
  • Job-related activities include research and educational tasks that may be found via the Internet that would help in an employee's or volunteer’s role
  • All Internet data that is composed, transmitted and/or received by CCCM's computer systems is considered to belong to CCCM and is recognized as part of its official data. It is therefore subject to disclosure for legal reasons or to other appropriate third parties
  • The equipment, services and technology used to access the Internet are the property of CCCM, therefore CCCM reserves the right to monitor Internet traffic and monitor and access data that is composed, sent or received through its online connections
  • Emails, instant messages, and the like, sent via the CCCM email or message systems should not contain content that is deemed to be offensive. This includes, though is not restricted to, the use of vulgar or harassing language/images
  • All sites and downloads may be monitored and/or blocked by CCCM if they are deemed to be harmful and/or not productive to business
Unacceptable use of the internet by employees includes, but is not limited to:
  • Sending or posting discriminatory, harassing, or threatening messages or images on the Internet or via CCCM's email service
  • Using computers to perpetrate any form of fraud, and/or software, film or music piracy
  • Stealing, using, or disclosing someone else's password without managerial authorization
  • Downloading, copying or pirating software and electronic files that are copyrighted or without authorization
  • Sharing confidential material, trade secrets, or proprietary information outside of the organization
  • Hacking into unauthorized sites or websites
  • Sending or posting information that is defamatory to the CCCM, its products/services, colleagues and/or customers
  • Introducing malicious software onto the CCCM network and/or jeopardizing the security of the organization's electronic communications systems
  • Sending or posting chain letters, solicitations, or advertisements not related to business purposes or activities
  • Passing off personal views as representing those of the organization

  • If an employee is unsure about what constitutes acceptable Internet usage, then he/she should ask his/her supervisor for further guidance and clarification

Purchase and Transfer Policy

Please accept this friendly reminder that approximately around May 2012 we sent out a memo to all Calvary Chapel Costa Mesa Departments and Ministries detailing the Calvary Chapel Costa Mesa policy for developing and hosting of websites. The policy approved by Pastor Chuck and the board is this;

a. all Calvary Chapel Costa Mesa owned and operated ministries must NOT contract with outside sources for development of new websites.
b. all ministries must contact Calvary Technical Services (CTS) for development of a new website
c. all hosting of any website that is a ministry of Calvary Chapel of Costa Mesa must be hosted by Calvary Chapel Technical Services (CTS)
d. all registration of domain names or new domain names must be accomplished through CTS

Recently, it has come to our attention that a few ministries have not abided by this policy for one reason or another. Pastor Chuck, on May 19th affirmed this policy with the following message he asked us to relay to all departments and ministries:

"No one is authorized to order web site development outside of our own department. If they do so, they are personally responsible to pay to have it done. It doesn’t make sense to have a division in our own organization capable of doing this work, then to hire outside sources. This is our policy..."

Calvary Chapel Costa Mesa is intent on providing the best possible Information Technology services to all ministries campus wide. In the interest of controlling expenses and cost, we also find it essential that we have a plan to manage the allocation of these services. Pastor Chuck, Brian Brodersen and the board view Information Technology services as a ministry of the church.

In an effort to control cost, provide accurate accounting for all current and future computer hardware resources and insure coordination and cooperation between ministries, all IT operations will be managed and supervised by Calvary Technical Services. Calvary Technical Services is located on the 6th floor of the Logos Building. Jim Shirley has been appointed by Pastor Chuck and the board to serve as the director of Calvary Technical Services.

Calvary Technical Services (CTS) will soon be in contact with each ministry of CCCM and ask for your cooperation on a new project that involves asset tracking and labeling of all computer related hardware.

To insure the future success of our desire to accurately manage and track computer hardware assets we ask each ministry to cooperate fully with the following policies:

1. All future computer hardware and software purchases must be pre-approved by the CTS office. You will be contacted soon about a new online PO system to obtain this approval.
2. All working hardware that you currently have (not being used) at your physical location must be transferred to the CTS office for labeling and inventory.
3. No individual, department, or ministry should transfer any computer related hardware in your possession to another individual, department or ministry. All transfers of computer hardware must be processed and tracked by CTS. Please contact Jim with a list of any current working computer hardware assets in your possession that are not currently being used.
4. Prior to completing a PO for new computer hardware first contact CTS/Jim Shirley. The computer hardware in storage will be reviewed first prior to ordering new equipment.

We expect that each manager and ministry to cooperate fully with these policies. With your cooperation, you will play a vital role in helping the church achieve its goal of providing technical services within the framework of a centralized management so that we may control cost and accurately account for all computer assets. We all will be better served if we are successful in this endeavor.

Gaming Policy

It has come to the attention of management that some employees are playing games during working hours, as well as visiting web sites and engaging in other social networking internet related activities which have nothing to do with the performance of their job. Therefore it is the express policy of the Calvary Chapel Technical Services management that online gaming during working hours is a violation of Internet acceptable use policy. We are asking all Internet users to limit their gaming and personal social networking to their personal computers during non-working hours. As regards to online gaming, this policy should also be respected during personal lunch hours. Employees take lunch at different times throughout the day and online gaming can negatively impact the performance of the network and thus directly affect the ability of essential work related tasks for others. Your cooperation with this policy is not only expected, but also greatly appreciated. Our goal is to provide the needed Internet and network services to the overall majority of employees with the best possible performance.
